This page will provide you with a listing of questions and answers to the questions that are asked most frequently of PropertyTract representatives.
Q: How are contracts entered into PropertyTract?
A: Clients, with assistance from PropertyTract personnel, begin the process by collecting all contracts of the organization. Once contracts are collected, PropertyTract sends professionals on-site to enter the documents in using an electronic format. Once scanned to our servers, summary pages are developed for each contract. Upon completion of contracts and summary pages being placed on PropertyTract, the system is ready for use.
Q: Can other documents be placed on the PropertyTract system?
A: Yes. Although PropertyTract was designed for contract management, our clients have found other uses for the system such as installing: policies and procedures, equipment warranties, correspondence, contract addendums, and credentialing information.
Q: What are CE-Mail Alerts?
A: During the customizing phase, a database of e-mail recipients is built into your system. Clients are forewarned about such critical events as contract expiration dates, pricing adjustments, and other obligations, which could otherwise be missed. The PropertyTract system uses your existing e-mail system to deliver notices.
Q: What happens to contracts that expire?
A: Expired/terminated contracts are archived on the PropertyTract system and can be accessed by the client as easily as an active contract.
Q: How secure is the system?
A: To prevent against information being breached during scanning and transmission, PropertyTract utilizes the industry leader for encryption services. Additionally, a separate database, within a secure environment is developed for every facility and/or department of each client.
Q: How is the product priced?
A: Pricing is a fixed-fee per contract per month. This fee includes scanning of all contracts, summary page development, review of contracts for cost savings and revenue enhancement, unlimited access to the system, and a full staff training and technical support.
Q: Are there new hardware requirements?
A: No. Access to the PropertyTract system only requires that individuals utilizing the system have internet access. PropertyTract, will provide a digital scanner that will be used during the installation and available for clients to add new contracts to the system.
